Who are we looking for?
This is one of the most important roles in our organisation as our Service Administrators deal directly with our customers. The people we are looking for are highly skilled in delivering the four key principles of a great customer experience: it’s personalised, competent, convenient, and proactive.
As a Service Administrator you are the main point of support between our customers and Service team, and you are responsible for a range of customer service, administrative and account processing functions as well as supporting the wider administrative team nationally.
In this customer-centric role, you will…
1. Process Service orders and complete invoicing tasks.
Ensure all Service jobs submitted by our technicians and sub-contractors are invoiced daily, or as required, with detailed and correct information.
2. Manage external and internal stakeholders.
Action all inbound email requests in a timely manner and appropriately store or archive emails in accordance with our filing system.
3. Manage the database.
Ensure all customer and supplier details are set up correctly in our database with as much information as possible.
4. Book and allocate Service jobs.
Ensure all inbound service requests are created in the system, allocated to the appropriate technician with the most suitable certifications, and followed up to ensure all KPIs are met.
5. Provide customer support.
Handle inbound and outbound customer calls, referring them to the most relevant department, and ensuring queries and requests have been followed up.
Key requirements and qualifications
• Minimum of two years’ experience in administration, customer service or inbound call centre environments.
• Intermediate to advanced skills in the Microsoft Office Suite of programs. Experience in Navision desirable.
• Excellent communication skills, both verbal and written, including the ability to practice active listening skills.
• Strong ability and capacity to exercise empathy and diplomacy on the phone, whilst executing the best outcomes for the business.
• Ability to establish and maintain effective working relationships with co-workers and other teams - both local and interstate.
