Today was a reminder of why clear communication and realistic expectations matter when booking catering services.
Over the past month, I received more than 25 phone calls and numerous inspiration photos from a client. The displays she shared ranged from approximately $1,200–$2,200 in value. Her stated budget was $600 for an event of more than 150 guests.
Several days before the event, I explained that a $600 budget would realistically feed about 80 guests and that while I would do everything possible to maximize the budget, some elements shown in the inspiration photos would not be achievable without increasing the investment.
Despite those conversations, when the table was completed, I was told the display was “disgusting” and that the client was embarrassed by it. I respectfully disagree. The photos speak for themselves. I created a beautiful, budget-conscious display that reflected the amount I was hired to provide.
What many people don’t realize is that premium ingredients such as prosciutto, capicola, specialty cheeses, elevated styling, and large-scale displays all come with significant costs. A $600 budget and a $2,000 vision simply do not produce the same result.
To make matters more difficult, the agreed-upon balance was not paid. The total payment received was $425, which was significantly less than the contracted amount because the client refused to pay me the cash owed at today’s event. Another lesson learned to receive payment prior to event.
I am sharing this not for sympathy, but as a learning opportunity. If you’re planning an event, please be honest about your guest count, your expectations, and your budget. I will always do my best to create something beautiful, but no business can provide a luxury experience on a budget that doesn’t support it. Not to mention this clients event required four hours of driving round trip and three hours of shopping and prep work.
