Office Administrator and Executive Assistant

We are a growing, multi-state ranching business focused on delivering excellence in livestock and rangeland management. With operations in multiple states and high-performing foremen at each location, working with a broad level leadership team,we are seeking a key team member to serve as the administrative bridge between leadership and the field. Seeking a skilled and trustworthy Full-time Office Administrator and Executive Assistant for our multi-entity ranch operation - where accountability, communication, discretion, and adaptability are key. This is a hybrid position, with the majority of work conducted remotely. However, the applicant must be willing and able to commute to meet in person at the ranch office ~ once per week for day trip, 4 hour meetings, in Jay Em, Wyoming. You will serve as the CEOâs right handâmanaging schedules, streamlining communication across sites, handling office functions, and providing light bookkeeping support.
The ideal candidate would be highly organized, patient, detail-oriented, and comfortable learning complex systems and processes. Frequent communication and follow-up is necessary to succeed in this position. This role requires close collaboration and frequent communication with our Bookkeeper, as the two positions work closely together. Experience in agricultural or ranch bookkeeping is preferred. Experience in QuickBooks, Bill.com, Dext, Agriwebb, Google Meet, Google Programs, and Google Drive is required.
This is a 16-22 hour per week, hybrid/remote position

File, categorize, archive, and manage email threads for streamlined communication.

Inventory Management
Receipt Management
Collect, upload and code receipts for Bookkeeper
Bill Pay
Collect, upload and code bills.
Manage CEOâs schedule, calendar, priorities, email, and travel logistics
Handle correspondence with clients, vendors, and contractors
Track action items, commitments, and project timelines
Take notes and coordinate follow-up after meetings
Communicate regularly with Leadership team in multiple ranches
Facilitate weekly check-ins and help resolve logistical bottlenecks
Track inventory requests, equipment movements, and scheduling changes
Assist with vendor quotes, service arrangements, and supply chain communication
Rainfall Data Collection and Entry/Rangeland Monitoring Coordination/Collection
Maintain organized records: digital files, contracts, insurance docs, receipts
Coordinate licensing, compliance
Monitor progress and follow up regularly to ensure deadlines and objectives are met.
