Ever wonder why caterers ask for a final guest count well before your event?
It's not because we don't want to be flexible—it's because every change sets off a chain reaction behind the scenes.
When your guest count is finalized, we've already:
• Ordered food
• Created kitchen production schedules
• Secured staff
• Printed event details and invoices
• Planned prep days so fresh items are made at the right time
• Staged tableware and serving equipment
Even adding or removing just a few guests means updating recipes, prep quantities, staffing, tableware, event sheets, invoices, and kitchen instructions. Every change has to be communicated to multiple team members, and the more times something is changed, the greater the chance something gets missed.
That's why we ask for final guest counts 30 days before weddings and 10 days before most other catered events. It gives our team the time to do what we do best—prepare everything accurately, efficiently, and with the quality your event deserves.
